***NOTE *** The lease is copied to the correct location with an automated label via a timed script. Allow up to 10 minutes for the pdf you just scanned to show up on the server through your L: drive (Accessible through My Computer or Remote Desktop).

***NOTE*** It is OK to scan multiple leases by repeating the procedure above for each lease before going to the next step.

Step 2

--------

Next go to the L: drive by opening My Computer on your PC that's connected to the NMHO network

Find the inappropriately named file that you just scanned and rename it using the following convention:

Property Name Tenant Building Unit number Lease Date.pdf - avoid using punctuation, spaces are OK – Make sure the .pdf is in the name or it changes the file type

If it doesn't already exist, create a directory in the L: drive Month Year, i.e. Apr 2010

Move the lease to the month year folder that matches the lease date

**NOTE Renewals go into a separate folder for example there will be a December 2010 and a December 2010 Renewals Folder
