Here are directions on how to scan leases on the Kyocera/Copystar CS1820 that are connected via network, which includes most properties. Let me know any questions or problems.

Step 1

Repeat this procedure for each lease:
place your original face up top of page in first with any addendums including parking, furniture, concessions, insurance, short-term or month to month addendums, utility, pet, etc.
press send button left side
press address book (right arrow)
select your property name or property initials followed by Leases by highlighting it and pressing OK button. For instance if your at Parma Woods you would select the contact Parma Woods Leases.
comes up with address hit OK again
screen reads ready to send
then hit start button
The document is pulled through the copier and scanned to email.

***NOTE *** The lease is copied to the correct location with an automated label via a timed script. Allow up to 5 minutes for the pdf you just scanned to show up on the server through your L: drive (Accessible through My Computer or Remote Desktop).
***NOTE*** It is OK to scan multiple leases by repeating the procedure above for each lease before going to the next step.
Step 2
--------
Next go to the L: drive by opening My Computer on your PC that's connected to the NMHO network
Find the inappropriately named file that you just scanned and rename it using the following convention:
Property Name Tenant Building Unit number Lease Date.pdf - avoid using punctuation, spaces are OK
If it doesn't already exist, create a directory in the L: drive Month Year, i.e. Apr 2010
move the lease to the month year folder that matches the lease date.
